Authorization to Purchase -Computer Network Server Installation

Discussion:
As the City Council may have heard, the City's computer network server is seriously
damaged and will have to be replaced. This system was over four (4) years old and gave
the city good service in its time. . An allotment was included in the 2002 budget to
purchase a new network machine, and because this was deemed an emergency, a system
was ordered last week from Dell Computer. The total cost for the new system is about
$8,900 and it will include many needed features, such as anti-virus software and a
firewall. The new machine should arrive within 5-7 days.
The City also received a proposal to install the new network server and r~lated
components from a consultant firm (the Geek Squad). The total cost for the installation is
estimated at $4,500. Staff strongly recommends a professional installation because it is
imperative that the system is set up quickly, correctly, and efficiently, in order,to
minimize down time, which under the best of circumstances is estimated to be at least
two weeks. Further, staff plans to request a proposal for on-going maintenance to
minimize similar equipment failures and downtime in the future.
The 2002 General Fund Operating budget allocates a combined cost of$10,000 for a
server and installation. The remaining cost ($4,000-$5,000) could be allocated from the
Facilities/Office Equipment Fund, which has an available fund balance of $30,000.
Requested Council Action:
Staff requests authorization, in the form of a simple motion, to purchase computer
network installation services as proposed by the Geek Squad computer consultants, at a
cost not to exceed $5,000, using dollars from the Facilities/Office Equipment Fund.
